2. What Data We Collect
- Enquiry and quote data: name, email address, phone number, company name, job title, site address or postcode, and details of your cleaning requirement, submitted through our Request a Quote, Contact or compliance pack forms
- Chat data: messages you send through the live chat on this website, together with the name and email address you choose to give
- WhatsApp and phone data: your number and the messages or call notes you send us when you contact us this way
- Client data: if you become a client, we hold contract details, site addresses, access arrangements, billing information and correspondence relating to the service
- Careers data: if you apply for a role with us, we hold your CV, application details, right-to-work documents and interview notes. If an offer is made, we also carry out a DBS check, which is handled under the separate safeguards described in section 4
- Website usage data: collected through cookies, but only where you consent to analytics cookies. See our Cookie Policy for full detail
We do not knowingly collect data from anyone under 18 through this website.

4. Who We Share Data With
We do not sell personal data. We share data only where necessary, with:
- Website hosting: Hostinger, which hosts this website and its server logs
- Form handling: Formspree, which receives the forms you submit on this website and passes them to us by email
- Live chat: Tidio, which provides the chat window and stores chat conversations. The chat only loads after you accept cookies
- Website analytics: Google Analytics 4, only if you accept analytics cookies. IP addresses are not stored by Google Analytics 4
- Email: Hostinger, which hosts our business email accounts
- Messaging: WhatsApp (Meta) if you choose to contact us that way
- Professional advisors: our accountant, insurer and legal advisors, where required for legitimate business purposes
- Recruitment checks: the Disclosure and Barring Service (DBS), through a registered umbrella body, for successful candidates only
- Authorities: where required by law, or to protect our legal rights
Some of these providers process data outside the UK, including in the European Economic Area and the United States. Where this happens, the transfer is protected by UK adequacy regulations (for the EEA and for organisations certified under the UK Extension to the EU-US Data Privacy Framework) or by the UK International Data Transfer Agreement or Addendum.
5. How Long We Keep Your Data
- Enquiries that do not proceed: kept for up to 12 months, then deleted
- Chat conversations: kept for up to 12 months, then deleted, unless they become part of a client or job application record
- Compliance pack requests: kept for up to 12 months, then deleted
- Client and contract records: kept for the duration of the contract plus 6 years, in line with UK company and tax record requirements
- Job applications: unsuccessful applications kept for up to 6 months, then deleted. DBS certificate details are not kept for longer than 6 months after the recruitment decision
- Analytics data: kept for 14 months in Google Analytics 4
6. How We Protect Your Data
Access to personal data is limited to the staff who need it for their role. Our systems are password protected, and this website uses an encrypted (HTTPS) connection. Our providers are bound by written terms that require them to keep your data secure and to use it only on our instructions.
7. Your Rights
Under UK GDPR, you have the right to access the data we hold about you, ask us to correct inaccurate data, ask us to delete your data where applicable, restrict or object to certain processing, withdraw your consent at any time where we rely on consent, and request a copy of your data in a portable format. To exercise any of these rights, contact us at info@britaincleaningsolutions.co.uk. We will reply within one month.
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
