Use this checklist to inspect agreed cleaning tasks in offices, reception areas, shops and similar commercial premises. It provides a practical record of presentation, hygiene-related tasks and corrective work. Tailor the tasks and frequencies to the site before use.

How to complete the checklist

Mark one result for each applicable task: Pass, Action required or N/A. Use N/A only when the task is outside the agreed scope or does not apply. Record the reason for any access restriction or deferred task in the action log. A blocked task should not be marked as passed.

Check every scheduled task and record a responsible person and due date for defects. Reinspect corrective work before closing the action. A visual check confirms presentation; it does not establish microbiological cleanliness or certify building safety.

Specialist environments such as healthcare, food production and industrial process areas need their own sector-specific procedures and additional checks. Use this document for the general commercial areas within the agreed scope.

Protect documents and equipment

Keep washroom equipment separate

Use the site's documented colour-coding system. Keep washroom cloths and mop heads separate from those used in kitchens and other commercial areas. Report faults for maintenance rather than recording them as cleaning failures.

Confirm responsibility for food and appliances

Do not discard food or personal belongings without instruction. Agree responsibility for dishes, fridge emptying and defrosting. Staff kitchen cleaning does not replace a food business's own food safety cleaning schedule where one is required.

Judge the work against the agreed scope

Record a periodic task only when it is due under the agreed schedule. Visible wear, damaged finishes and permanent staining may remain after correct cleaning. Record these separately and request specialist assessment where appropriate.
