Prepare each property for its next residents

Summer turnaround brings together student departures, inspections, maintenance, deep cleaning and arrivals within a limited window. A reliable programme depends on knowing which rooms are vacant, releasing them in the right sequence and checking completed work before handover.

This guide is designed for student accommodation managers, university estates teams, private landlords and letting agents. It covers ensuite and non-ensuite rooms, studios, shared kitchens, flats and communal areas. Use it to build a practical cleaning plan and coordinate it with the wider property programme.

The main priority is a controlled handover: every unit should have a confirmed access status, an agreed cleaning scope and a recorded inspection outcome. Cleaning completion and readiness for occupation are separate decisions.

Build the summer programme

Start with the confirmed departure and arrival dates for each building or property. Work backwards from the required handover, allowing time for maintenance, cleaning, drying, inspection and any corrective work.

Prepare a useful inventory

List every room, studio, kitchen and communal area using the site's existing identifiers. Record unit type, release date, target completion, cleaning scope and relevant restrictions. Record shared kitchens separately so they are not counted once for every bedroom.

Confirm the commercial scope

Agree whether rubbish removal, appliance interiors, carpet extraction, upholstery, internal windows and bed making are included. Record any separate charges and the process for authorising additional work. Confirm waste arrangements, consumables and who supplies linen where required.

Allow for uncertainty

Late departures, heavy soiling and maintenance can reduce the available working window. Keep time for inspection and rework rather than filling every hour with planned first-pass cleaning. Escalate changes to the site contact as soon as their effect on the programme becomes clear.

Organise access and teams

Release units before assigning cleaners

A checkout date does not by itself confirm that a room is available. The authorised site contact should confirm vacancy, access permission and any retained belongings before work begins. Treat occupied rooms as a separate arrangement with agreed notice and consent procedures.

Match staffing to the actual workload

Plan labour by accommodation type and observed condition, including kitchens and communal areas. Teams may involve 6, 8, 10, 15 or more cleaning operatives, supported by team leaders and supervisors according to the size and layout of the project. Confirm the resource after assessing the scope and release sequence.

Estimate capacity from a representative sample or previous comparable work. Allow for travel between properties, key collection, equipment movement, breaks, waste handling and inspections. Avoid setting one universal rooms-per-day target for mixed accommodation.

Brief the team before work starts

Cover access, key control, site hazards, product use, waste routes, emergency arrangements and quality standards. Confirm who can authorise a scope change. Maintain a key issue and return record and keep access details secure.

Keep daily reporting short and useful

At the start of the day, confirm available units and priorities. At the end, record units cleaned, inspected and accepted, together with blocked units, corrective actions and the next day's release needs.

Set the cleaning scope by area

The tasks below are a scope framework. Confirm inclusions, exclusions and surface care requirements before pricing or mobilisation. Detailed cleaning should address accessible surfaces and fittings without implying repair or restoration of damaged items.

Bedrooms and non ensuite rooms

Remove authorised waste, dust accessible furniture and ledges, clean wardrobes and drawers when empty, wipe desks and touchpoints, clean agreed internal glazing and finish floors and edges. Inspect under movable furniture where safe and authorised. Arrange bed making only where included and suitable linen is provided.

Ensuite bathrooms and shared washrooms

Clean sanitary fittings, basins, taps, mirrors, showers, screens and accessible tiled surfaces. Remove soap residue and treat limescale using a compatible product. Detail touchpoints, floor edges and accessible fittings. Report leaks, damaged seals, persistent mould or blocked drainage for appropriate investigation.

Studios

Combine bedroom, bathroom and kitchenette tasks. Include agreed appliance interiors and cupboard interiors when empty. Inspect kitchen and bathroom work separately because one completed area does not mean the whole studio is ready for inspection.

Shared kitchens and living areas

Clean agreed cupboard interiors and fronts, worktops, sinks, taps, splashbacks, tables and accessible furniture. Degrease suitable surfaces and clean appliance interiors within scope. Detail floors and edges. Fridges and freezers need an agreed emptying and defrosting arrangement; do not remove stored food or switch equipment off without permission.

Corridors, stairs and communal spaces

Remove debris, clean accessible touchpoints and ledges, vacuum or mop using the appropriate method and detail edges. Maintain clear escape routes and coordinate work around any residents or contractors still on site.

Tasks needing a separate arrangement

High-level cleaning, external windows, carpet extraction, specialist stain treatment, pest activity and unusual contamination require assessment and an agreed method. Do not promise removal of permanent staining, damaged finishes or odours caused by unresolved building faults.

Control the work sequence

Coordinate maintenance before final cleaning

Where practical, complete dusty repairs and decorating before the final clean. Record units awaiting maintenance as blocked or subject to an agreed partial clean. If contractors re-enter a completed unit, reassess the cleaning and inspection status before handover.

Clean systematically

Work from higher accessible surfaces to lower ones and complete floors last. Keep washroom equipment separate from kitchen and bedroom equipment. Use a documented colour-coding system, change cloths as needed and clean reusable equipment between uses.

Select products and methods safely

Assess chemical exposure under COSHH before use. Follow labels, safety data sheets and surface care instructions. Never mix cleaning products. Apply the ventilation, storage and protective equipment controls identified by the assessment. Where disinfection is required, clean first and follow the product's dilution, contact time and rinsing instructions. [1–3]

Protect the site and its occupants

Control entry to wet areas until safe, manage cables and keep routes clear. Use assessed access equipment for work above normal reach. Stop and notify the site contact if sharps, bodily fluids or unknown substances are found; arrange an appropriate trained response rather than treating them as routine waste.

Handle belongings and waste by instruction

Keep suspected personal belongings separate from authorised waste and report them. Follow the client's agreed process for storage, collection or disposal. Confirm who handles waste and which authorised collection route will be used. Do not leave rubbish in corridors or obstructing exits.

Allow drying time before release

Carpet extraction and wet cleaning may affect handover times. Plan ventilation and access controls, confirm that surfaces are sufficiently dry and avoid closing damp rooms without a suitable drying arrangement. Cleanliness alone does not resolve damp or building defects.

Inspect and manage handover

Inspection should follow a consistent standard agreed before mobilisation. Check every unit against its scope and record defects with a responsible person and target date. Reinspect corrective work before changing the acceptance status.

Record evidence without creating clutter

Use unit identifiers, dates and named reviewers. Where authorised, take photographs of relevant defects or completed work; avoid personal information and follow the client's storage and privacy instructions. Keep cleaning defects separate from damage and maintenance issues.

Prevent recontamination

Control access after acceptance, record contractor re-entry and protect completed areas during remaining works. A final pre-arrival check may be needed where units have stood empty or other trades have returned.

Agree the final handover

Provide a summary of cleaning accepted, remaining defects, excluded tasks and units still blocked. The property manager should confirm wider readiness, including maintenance and the required property safety checks, before releasing accommodation to incoming residents.
