For accommodation managers, the challenge is coordinating those activities so each room progresses towards handover without avoidable delays. A clear release plan and a consistent inspection process make that coordination easier.
Build the programme around confirmed availability
A scheduled departure date does not always mean a room is ready for cleaning.
Before assigning work, confirm that the accommodation is vacant, access is authorised and any remaining belongings have been addressed under your agreed procedures.
Track bedrooms, studios, shared kitchens and communal areas separately. This gives you a clearer picture of the work available and prevents shared spaces from being overlooked.
Define the scope for each accommodation type
An ensuite bedroom, a studio and a shared kitchen involve different cleaning tasks.
Agree the required scope before mobilisation, including furniture interiors, bathrooms, appliances, internal glass and floors. Confirm whether rubbish clearance, carpet extraction and bed making are included.
Clear instructions help teams work consistently and make inspections more straightforward.
Coordinate maintenance with final cleaning
Repairs and decorating can affect the cleaning sequence. Where practical, complete work that creates dust or debris before the final clean.
If a contractor needs to return to a cleaned room, record the re-entry and check whether further cleaning is required. This helps prevent a previously accepted unit from reaching handover in a different condition.
Plan capacity around the full workload
Room counts alone are not enough to establish staffing requirements.
Consider the mix of accommodation, the condition of kitchens and bathrooms, access arrangements and movement between buildings. Allow time for equipment handling, drying, inspection and corrective work.
Teams should be organised around the actual programme, with clear responsibilities for cleaning operatives, team leaders and supervisors.
Make inspection part of the programme
Inspection should have its own place in the schedule.
Use an agreed checklist to assess completed work and distinguish cleaning defects from maintenance issues or existing damage. Record outstanding actions, assign responsibility and recheck corrections before accepting the cleaning.
Cleaning acceptance should then feed into the accommodation manager's wider decision about readiness for incoming residents.
Keep daily progress visible
A short daily update can prevent confusion. Record which units are available, which are being cleaned, which await inspection and which are blocked.
This allows managers to address access problems and changing priorities while there is still time to adjust the programme.
